Importing Appointments

Through your Settings tab, select Import to upload your appointment list.
Ensure that your file is in CSV format and includes a unique Appointment ID associated with the corresponding Client ID for all entries.
***PLEASE NOTE***
- Make sure that your clients are already imported in My Appointments before importing their appointments. For help with importing clients, please see our article here.
- Ensure that your locations have been set up inside My Appointments in order for the system to match the appointment locations.
- Make sure all services are set up in My Appointments before importing. The service names must match exactly (including spacing and capitalisation) with those in your exported file. Any mismatched services will be rejected.
- Once your file is prepared and uploaded, you may proceed to match the import fields with those available on the My Appointments platform. Disregard any irrelevant fields.
- Blockouts cannot be imported, they must be uploaded manually.
- In the event that certain appointment entries contain errors, they will not be imported. In such cases, you'll have the choice to download a CSV file listing the failed imports. You can then troubleshoot, amend, and re-upload the file.
Ensuring a successful import
To ensure your import is successful, check your data for the following:
- Appointment ID and Client ID - may consist of numbers, letters, and symbols. There's no maximum limit to the characters you can enter, but it should be at least a minimum of 1 character.
- Date format - accepts slash (/), period (.), and dash (-) as date separators. It can be formatted as dd/mm/yyyy, mm/dd/yyyy, or yyyy/mm/dd.
- Time format - must be 24-hour format.
- Correct spelling, spacing, and symbols - this applies to the Appointment Type and Service Provider’s name and Location.
- Status - accepts Arrived, Confirmed, Missed or Cancelled. Please note that only one status can be imported.
What data can I import?
As of now, you can import the following fields:
- Client ID
- Start time
- End Time
- Appointment type
- Service provider
- Location
- Status
- Appointment ID
What is a CSV file?
CSV stands for comma-separated values. It is one of the most common file formats for exporting data and can easily be opened or created, with Microsoft Excel or similar software.
If you're currently using another practice management system and want to import your appointment list into My Appointments, follow their guidelines for exporting your data.
If you're not using a practice management system but want to speed up the process of adding your existing appointments to My Appointments, create an Excel spreadsheet. A sample file can be downloaded here. Once you have added your appointments, click File > Download as CSV. Your file is now ready for import.
